Add a person
Send a one-time onboarding link that sets up a new teammate's employment type, role, pay, and monitoring policy before they even join.
Who this is for
Adding a person needs the same permission the wizard itself lists as "Invite, edit & remove people." The wizard's own restricted message talks about being for "owners and managers," but the default Manager role doesn't include this permission. In practice, only an owner can add someone unless an owner grants it through a custom role.
Before you start
You'll need the person's work email address. It's the only field the wizard requires. Everything else can be filled in now or left for later.
Steps
- Open Invite people (from Team, select Invite people, or from Settings, select Teammates), then select Add person.
- On Worker type, choose Employee or Contractor.
- On Personal & role, enter their Work email. Optionally fill in Job title, Country, Department / team, Time zone, and a Scope of work (you can start from a template and edit it).
- On Access, select the roles to grant them. You can only grant roles at or below your own level. Anything higher shows locked.
- On Payment, optionally set a Pay rate and currency, and a Billing cycle.
- On Monitoring policy, optionally set a Weekly hours limit, a Monthly hours limit, how many idle minutes before the tracker auto-pauses, and whether to allow offline / manual time.
- On Review & invite, check the summary, optionally add a personal message, then select Send invite.
What happens next
A one-time onboarding link is created and shown once, in a dialog confirming their role, scope, pay, and monitoring policy will all apply the moment they accept. Select Copy to copy the link, then share it however you like. It works a single time, then expires. From there, select Add another to start the next person, or Done to return to Invite people.
If it doesn't work
- If you don't have access to add people at all, you'll see "You don't have access to team administration", *"Adding people is limited to owners and managers. Ask an owner if you need access."*
- If that email already belongs to someone in your workspace, sending fails with *"that email is already a member of this org."*
- If you try to grant a role you're not allowed to give out, or another access problem trips the send, you'll see the general message *"Your session may have expired, or you don't have access to this."*
- If something else goes wrong, you'll see the server's own message, or *"Couldn't create the invite."* if none is given.
- If the workspace has run out of seats by the time they open the link, they'll see: *"this workspace is full: ask an owner to upgrade the plan or free up a seat before joining."*
- If copying the link fails, you'll see *"Couldn't copy. Select it manually."* Select the text in the field and copy it by hand.
